Abstract Presentation Guidelines — MEDICON 2025

General Rules — Detailed Explanation

  1. Eligibility: Postgraduates, residents and practising doctors are eligible to submit.
    This ensures that both trainees and independent clinicians can participate. Trainees should have the endorsement of their supervisors when necessary.
  2. Submission Deadline: Abstracts must be submitted by 30th September 2025. Late entries will not be accepted.
    No late submissions will be entertained to allow sufficient time for peer review and scheduling. Please confirm your submission well before the deadline to avoid last-minute technical issues.
  3. Registration: Prior registration for the conference is mandatory. Abstracts must be submitted before the deadline via the official MEDICON 2025 website.
  4. Maximum Submissions: The presenting author may submit up to 2 abstracts in total, with a maximum of 1 abstract for Paper (oral).
    Allowing two submissions increases opportunities for trainees and busy clinicians to present more than one project while limiting oral slots to one per author keeps the programme balanced.
  5. Categories: Free Papers and E-Posters are open to all delegates.
    Free Papers are selected for oral presentation; E-Posters are intended for visual summary and discussion. The Scientific Committee may reassign selected Free Paper submissions to the E-Poster category depending on review scores and programme balance.
  6. Acceptance Notification: Authors will be informed of acceptance status by 5th October 2025.
    Notifications include category assignment (Paper or E-Poster), presentation slot, and any revision requests. If accepted, the presenting author must confirm their availability immediately to keep the slot.
  7. Originality & Plagiarism: Posters and papers must represent the original work of the presenting author(s). Plagiarism will lead to immediate disqualification.
    The committee will run random checks for plagiarism. Presenters must cite previously published work and obtain necessary permissions for reproduced images or data.
  8. Certificates: Certificates will be issued only to presenting authors.

Abstract Submission Format (Required)

Please follow the exact structure below. Use plain text; avoid embedded images or attachments in the abstract field.

  1. Title: In CAPITAL letters
  2. Author(s) and Institution(s): Presenting author name should be underlined or indicated
  3. Background / Introduction
  4. Methodology
  5. Results
  6. Conclusion

Word Limit: Maximum 300 words.

A clear, structured abstract helps reviewers quickly assess novelty, methodology and clinical relevance. Keep tables and long lists out of the abstract (these may be included in the final poster/paper files).

Final E-Poster and Final Paper Submission — Detailed Guidelines

All accepted presenters must upload their final files by the deadline communicated in the acceptance email.

  • Font: Times New Roman, Size 12–14 for body text.
  • Total file size: Should not exceed 10 MB.
  • Images: High-resolution images may be included; avoid embedding large raw image files.
  • Animation / sound: Not supported and will be ignored.
  • Poster display: Posters will be displayed on a 55-inch LCD. Allowed formats: PDF or PPT (landscape, single slide, 16:9 ratio).
  • Papers: Final paper presentations should be submitted as PPT, maximum 15 slides.
  • Presentation Timing:
    • Paper presentation: 6 minutes presentation + 2 minutes discussion (Total: 8 minutes).
    • Poster presentation: 4 minutes presentation + 2 minutes discussion (Total: 6 minutes).
  • Evaluation Criteria: Content quality, clarity, layout, use of graphs/images, literature review, and discussion quality. Exceeding time limits may attract negative marking.
  • Judges' Decision: Final and binding.
  • Certificates & Prizes: All selected contestants will receive participation certificates. Winners and prizes will be announced at the valedictory function.
These technical requirements ensure uniformity for digital display and fairness during evaluation. Presenters should test their files on a 16:9 display to confirm readability and layout before upload.

Evaluation & Practical Tips

  1. Prepare a concise message: Focus on the clinical question, clear methods, and the take-home message.
  2. Figures & tables: Use clear legends and avoid overcrowding the slide/poster.
  3. Rehearse timing: Strict timing will be enforced — rehearse to finish within the allocated duration.
  4. Backup: Keep a PDF and PPT version of your final file and bring it on a USB as an additional backup if requested by organisers.
